Apprentice Property Management Assistant

An excellent opportunity for an outgoing individual to assist in the negotiating of lettings at this organisation. Be part of a busy organisation and become an integral part of the lettings and property management team.

Tasks for the role:

  •  Assist with the management of the front office dealing with face to face, telephone and e-mail enquiries
  • Assist with the management of the applicant database; ensuring regular contact is made with all prospective tenants
  • Register applicants and match applicants to properties
  • Arrange and attend viewings
  • Liaise and negotiate offers between landlords and tenants
  • Close deals
  • Canvassing / leafleting to seek new business opportunities including targeting competitors
  • Achieve pre-agreed targets
  • Maximize board presence and promote brand awareness always
  • Signing up tenants and working through the process
  • Ensure all tenancies commence in line with legislation and APS guidelines
  • Ensure offers are accepted, all terms agreed and application forms are completed in full by prospective tenants
  • Process completed application forms
  • Complete referencing process
  • Process new landlord and tenant insurance policies
  • Arrange inventories, gas safety certificates, property inspections and maintenance repairs
  • Handle property repairs and instructing sub-contractors
  • Preparing schedules of condition
  • Preparing 6-monthly inspection reports on condition of property
  • Understanding and preparing the process for check-in and check-outs
  • Preparing an AST
  • Update window displays and website with property details
  • General administration duties
  • Correctly record all messages, viewings and appointments
  • Bring complaints to the attention of your Line Manager immediately
  • Build and maintain excellent working relationships with landlords and tenants
  • Demonstrate high standards of professionalism and provide a first-class level of customer service at all times
  • Attend all meetings and training courses as required by your Line Manager
  • From time to time perform duties outside of this job description reasonably requested of you

Additional information:

  • Candidates must hold a full UK driving licence as they will be required to attend property viewings and complete canvassing in the surrounding areas
  • Mileage will be paid at HMRC’s current rate per mile to attend business appointments

Desired skills:

  • Have good clear telephone voice
  • Be IT literate able to use email and Microsoft Office applications such as Word, Excel, and will be required to learn to use bespoke estate agency software
  • Be reliable and maintain good timekeeping
  • Be organised with paperwork and person tasks list
  • Write legibly on forms, diary, notes etc. so other staff members can easily decipher
  • A full clean UK Driving License and a vehicle for business use (is essential due to the nature of the role) – however, someone ready to take their test and have a car for use would be acceptable.

Personal qualities:

  • The person should be of smart appearance
  • Be a team player, yet have the confidence to work on own initiative

Qualifications:

  • Good general level of education

Important Information

Working week:

Monday - Saturday, between 09:00 - 18:00, with a day off in the week in lieu of working Saturday, this will include a 1-hour lunch break which is unpaid.
40 hours per week

£166 per week
