Apprentice Business and Customer Service Administrator

To collaboratively work as part of the support team providing reception cover and secretarial support for the team within the Chelmsford office. Be an integral part of the support team, working with senior leaders to deliver the firm’s objectives.

Purpose of the Role:

  • To be an integral part of the support team, working with senior leaders to deliver the firm’s objectives
  • To provide high-level reception duties and secretarial support to the team and professional interaction with our clients
  • To provide support to their peers among their team when required
  • To deliver and enhance the firm’s support services

Main area of Responsibility:

Located in our Back Reception office, you’ll be responsible for assisting with the following:

Reception Role:

  • Front of house support
  • Providing backup on switchboard and processing incoming calls in accordance with phone-right procedures
  • Sole reception cover from 5.00pm to 5.30pm
  • Greeting and meeting visitors to reception
  • Meeting room management, e.g. stationery and refreshments
  • Help assist with meeting room diaries
  • Set up and clear down of our meeting rooms
  • Ordering sandwiches where required for meetings
  • Ordering and replenishing mailing stock
  • Franking outgoing post
  • Topping up franking machine credit when required
  • Booking couriers

Office Support:

  • Copy and audio typing
  • Scanning into our internal document management system, to include post and other documentation
  • Opening and scanning incoming post
  • Photocopying
  • Database administration and involvement in update projects
  • Assisting with external mailings
  • Day filing/archiving
  • Taking DX post
  • Assisting with binding accounts when required
  • Updating books and records log as required
  • Involvement with our Tax library, to include loose leaf filing and placing orders
  • Assistance with CaseWare and spreadsheets on an ad hoc basis
  • Credit card reconciliation
  • Ordering stationery and doing stock checks

Marketing Support:

  • Typing and preparation of documentation
  • Assistance with marketing calendar/diary management
  • Reconciliation of marketing invoices and preparation of payment requisitions
  • Co-ordination of marketing material between internal offices
  • Ordering business cards and marketing promotional items
  • Assistance with Intranet/Internet and social media updates

Areas of Responsibility for other Functions:

Administration:

  • Complete your own timesheet in a timely manner
  • Maintain your Outlook calendar and ensure it is fully up-to-date at all times

HR:

  • Appraisals – self
  • Complete appraisal documentation
  • Attend appraisal meetings
  • Complete action points arising from appraisal meeting

IT:

  • Utilise the firms IT systems to work efficiently and effectively
  • Report issues arising to the IT team
  • Attend IT training sessions are required

Additional information

  • Located within a serviced office. Organisation is a short walk from Chelmsford train station

Qualifications:

  • Minimum 6 GCSE or equivalent A – C (4 and above) grades including maths and English
  • A Levels/BTEC or equivalent an advantage

Important Information

Working week:

Monday to Friday, 9am - 5.30pm
37.5 hours per week

Wage:

£15000 per annum
